Hours Calculator: Time Between Two Times and Time Card

This hours calculator counts the hours and minutes between two times, subtracts unpaid breaks and handles shifts that run past midnight. Below it, a weekly time card adds up every day’s hours in both hours-and-minutes and decimal form, and works out your pay from an hourly rate.

Quick answer: To calculate hours worked, subtract the start time from the end time and take off unpaid breaks. 9:00 am to 5:30 pm is 8 hours 30 minutes; minus a 30-minute break, that is 8 hours, or 8.00 decimal hours.

How to use the hours calculator

  1. Enter a start and end time. If the end time is earlier than the start, the calculator assumes the shift ran past midnight.
  2. Enter any unpaid break in minutes.
  3. For a whole week, fill in the time card. Days left blank are skipped.
  4. Add your hourly rate to estimate pay. Hours over the overtime limit (40 by default) are paid at 1.5 times the rate, the US federal standard for non-exempt workers.
  5. Click Copy time card to paste it into Excel or Google Sheets.

Converting minutes to decimal hours

Payroll systems use decimal hours, so 7 hours 45 minutes is 7.75 hours, not 7.45. Divide the minutes by 60:

MinutesDecimalMinutesDecimal
50.08350.58
100.17400.67
150.25450.75
200.33500.83
250.42550.92
300.50601.00

Overnight shifts

For a shift from 10:00 pm to 6:30 am, the calculator adds 24 hours to the end time, giving 8 hours 30 minutes. Shifts longer than 24 hours aren’t supported, so split them into days.

Tips for accurate timesheets

  • Record times as you go rather than from memory at the end of the week.
  • Check your employer’s rounding rule; some round to the nearest 15 minutes.
  • Paid breaks (usually short rest breaks) shouldn’t be subtracted; unpaid meal breaks should.
  • Overtime rules vary by country and state, and some states, such as California, also have daily overtime.
